Sage 50 Accounts, VT Transaction+, GnuCash, Manager, Adminsoft Accounts and MoneyWorks offer different ways to keep accounts on a desktop computer. The useful choice depends on the work you need to do: basic bookkeeping, stock control, sharing records with an accountant, or submitting UK VAT returns.

QuickBooks Desktop also deserves a mention because many businesses still recognise the name. Its UK edition has been discontinued, so it belongs in the migration discussion rather than a new buyer's shortlist.

This comparison draws on current supplier documentation. We have not installed or tested these products for this article, and the order is not a ranking. Check the exact edition, licence and tax features before committing your records to a system.

1. Sage 50 Accounts: consider it for more involved bookkeeping and stock

Sage 50 Accounts is installed on a PC and combines desktop accounting with connected services. Sage describes invoicing, bank reconciliation, stock, reporting and other functions, with more advanced features depending on the plan. It is a different product from the browser-based Sage Accounting.

It is worth investigating when a business needs more than a cashbook and has someone responsible for maintaining the records. Check which users, companies, stock functions and foreign-currency features are included in the quote.

Local access does not make every service available without the internet. Remote access, online submissions and connected features need their own setup. Ask what happens to access and historical records if you stop paying the subscription. Sage 50 Accounts UK product information.

2. VT Transaction+: consider it for a focused Windows bookkeeping workflow

VT Transaction+ records transactions and produces financial reports, with MTD VAT submissions included in the subscription. The supplier stores transaction data in files on your PC and says it cannot access those files, so a working backup routine matters.

VT's requirements specify Windows 10 or 11 for VAT submissions and say the software does not run on Macs. Check the current requirements for the release you intend to use. VT's download and system information.

Be clear about which VT product you are buying. VT Transaction+ is the bookkeeping program; VT Report provides a spreadsheet/bridging workflow. Companies House accounts filing belongs to the separate VT Accounts Suite, and agent submissions also need the full licence. A low bookkeeping price is useful only if it covers the work and access you actually need. Compare VT's packages.

3. GnuCash: consider it if you want free software and can manage the setup

GnuCash is free, open-source accounting software for Windows, macOS and Linux. Its documented small-business functions include customer and supplier tracking, invoicing, bill payments and bank reconciliation. It uses double-entry accounting and offers financial reports. GnuCash features.

The licence cost is attractive, but allow time to set up the accounts, understand the bookkeeping and agree how your accountant will receive the records. It may suit someone comfortable taking responsibility for a local-file accounting workflow.

We did not establish a native UK MTD VAT submission feature in the official documentation checked. If you need MTD, confirm a supported filing route and the required digital links before choosing it. The same caution applies to payroll: recording payroll entries is different from calculating UK statutory pay or submitting RTI. Official GnuCash site.

4. Manager Desktop: consider it for free, single-user offline bookkeeping

Manager's official download information describes a free desktop edition for Windows, macOS and Linux that works without an internet connection. It is single-user software. The supplier offers other editions for different access needs, so make sure the edition you evaluate matches how you and your accountant will work.

Its desktop file can be backed up and restored on another supported operating system. Agree who holds the working copy and how updates will be passed between people; sending files back and forth needs a clear process.

UK tax submission support needs a separate check. We did not establish a native MTD VAT submission route for the desktop edition. Do not assume a VAT calculation or tax code is equivalent to a filing connection. Manager Desktop information.

5. Adminsoft Accounts: check the current licence before relying on older reviews

Adminsoft is a Windows accounting system with local data, sales and purchase records, bank reconciliation, reporting and inventory features. Its current website describes a paid one-off licence and a full-feature trial. Adminsoft product information.

The important detail is its changing free-software model. The current download page distinguishes a 100-day demo from a free Lite mode with basic functionality. It also says that upgrading earlier freeware to version 4.330 or later moves it to Lite mode unless a licence is purchased. Older claims that everything is free can therefore mislead a new buyer or existing user planning an update.

The download page lists UK MTD VAT submissions among Lite's functions. Check the transaction and feature limits, accountant access and current licence terms before deciding whether Lite covers your business. Current download and licensing information.

6. MoneyWorks: consider it when native Mac support matters

MoneyWorks is made by Cognito Software and offers desktop accounting on Windows and macOS, alongside server and cloud options. Its UK-facing page describes VAT reporting and MTD VAT filing, bank statement imports, financial reports and a choice of purchase or subscription licensing.

It is worth examining if you want a Mac desktop option, particularly where stock or other operational requirements make a basic cashbook insufficient. Match those requirements to the exact product in the range; do not assume every edition contains all the features described across the website.

Ask about UK VAT setup, support, updates and the total cost of the required edition. The existence of a perpetual licence does not remove the need to keep tax-related functionality current. MoneyWorks UK-facing product information.

What about QuickBooks Desktop?

Intuit ended UK QuickBooks Desktop services and support on 30 June 2023. It says HMRC stopped accepting MTD VAT submissions from all QuickBooks Desktop versions on 7 April 2024. It is therefore unsuitable as a new UK MTD VAT filing choice.

Some owners of older perpetual licences may still be able to open their files, but Intuit says those versions are unsupported and no longer receive security updates. Its UK support notice also states that UK and Ireland company files are incompatible with other regional QuickBooks Desktop versions. A US or Canadian product is not a straightforward replacement for a UK company file.

If you still hold old records in QuickBooks Desktop, prioritise access, backups and a planned export or migration. Intuit's UK discontinuation and data guidance.

Choose around a real month of work

Before moving live records, try a representative set of sales, purchases, payments, refunds and bank reconciliation tasks. Check how you would export the ledger and reports, restore a backup and provide records to your accountant. Include stock and foreign-currency transactions if the business uses them.

For VAT, confirm the whole digital record-to-return process. HMRC permits compatible recordkeeping and filing software, or an appropriate bridging arrangement. Where digital links are required, copying totals by hand or using copy and paste is not a substitute. HMRC's digital-record and link requirements.

MTD for VAT, MTD for Income Tax, payroll submissions, statutory company accounts and a Company Tax Return are separate requirements. Buying a bookkeeping package does not establish that it handles all of them. If company filing is your main concern, the existing company accounts and tax filing software guide addresses that different task.

Swift's Bookkeeping and VAT Returns service can help you discuss the records, reconciliations and agreed filing work your business needs. Agree responsibilities and the software workflow before the move.
